The Administrative Executive is responsible for overseeing and managing the overall upkeep and functionality of the company's facilities. This role requires a strong focus on efficiency, cost-effectiveness, and adherence to health and safety regulations.
Responsibilities
Facilities Management:
- Oversee cleaning and maintenance arrangements to ensure high standards.
- Conduct regular inspections to identify and address maintenance needs.
- Monitor the interior and exterior condition of the building.
- Prepare and implement budgets and timelines for maintenance projects.
- Comply with all health and safety policies and regulations.
- Support maintenance and installation work as required.
Administrative Duties:
- Handle administrative tasks related to facility management.
- Manage vendor contracts and relationships.
- Prepare and manage facility-related budgets.
- Generate reports on facility performance and maintenance costs.
Team Management:
- Provide support, guidance, and training to team members as needed, fostering a positive, supportive work environment.
- Participate in team meetings, share insights, and encourage a culture of open communication and feedback within the team.
Requirements
- Proven experience minimum of 2-3 years in administration or a related field.
- Should be able to work on-site.
- Strong understanding of building maintenance and repair processes.
- Knowledge of health and safety regulations.
- Excellent organizational and time management skills.
- Strong problem-solving and decision-making abilities.
- Ability to manage multiple tasks and prioritize effectively.
- Strong leadership and interpersonal skills.
