Administrative Assistant

Pay Range: $22.90/hr. - $28.62/hr.

Workdays & Hours: Monday – Friday 8am – 5pm; Some evening/weekend work required.

An Administrative Assistant (HR) job is available with the City of Fort Worth Environmental Services Administration. Environmental Services Department works to protect public health, properties, environmental and natural resources through effective management strategies, public education, and engagement with the community in order to create a clean, safe, and green city. This position will primarily be responsible for overseeing medical records, assisting with payroll functions and other human resources needs.

Minimum Qualifications:

  • Associate’s degree from an accredited college with major coursework in Business Management, Public Administration, Business Administration, or related field.
  • Four (4) years of clerical and administrative experience.

Preferred Qualifications: 

  • Experience in Peoplesoft or other comparable system.
  • Experience in various Human Resource functions and laws regulating all aspects of employment (medical records, FMLA, ADA criteria, Worker’s Compensation, and administrative).
  • Experience with record management and confidentiality.
  • Intermediate to advanced proficiency using Microsoft Office Suite.
  • Experience working for a municipal or local government entity.

The Administrative Assistant job responsibilities include: 

  • Serves as the assigned Department’s primary Medical Records Custodian.
  • Filing Worker’s Comp Claims.
  • Provides payroll and staffing support to assigned divisions. Compiles, calculates, maintains, and reviews division payroll. Verifies time sheets, investigates questionable data, and processes payroll.
  • Assist with training and onboarding new employees by sending Welcome Letters.
  • Respond to requests for information from supervisory staff, and employees, specifically regarding Personnel Rules and Regulations and proper procedures.
  • Complete various HR projects that require research, analysis, and strong communication skills.
  • Update Org chart in Visio/PowerPoint monthly.
  • Maintain HR documents under the city’s records retention policy.
  • May participate in special projects as assigned.

Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.  

Physical Demand 

Sedentary Work – Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time.  Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
