JOB SUMMARY
The Administrative Assistant plays a pivotal role in supporting the daily operations of the regional office at Aspire Public Schools. This position is responsible for managing office communications, scheduling, and project support to ensure that the regional office runs efficiently. This role involves coordinating events, maintaining records, and assisting with various projects to support the regional office's administrative needs. The Administrative Assistant also serves as a point of contact for families, handling inquiries and providing information as needed.
ESSENTIAL FUNCTIONS

Provide administrative support for Regional office staff to include copier projects, ordering, mail handling, researching topics, supplies control, and necessary communications internally and externally
Handle calls from both internal and external sources (ex. families)
Summarize, communicate, and track all incoming family complaints and follow through to a satisfactory compromise with all parties involved.
Support with coordination of region-wide educational activities, meetings, and events, including logistics and preparations
Maintain the appearance and organization of the regional offices (including supplies organization, design, etc)
Support other Aspire team members as necessary
Performs related duties as required or assigned.

QUALIFICATIONS
Competencies:
Highly proficient in administrative support functions
Excellent organization, time management, and follow-up skills; strong sense of urgency
Demonstrated ability to successfully handle multiple projects concurrently
Ability to work independently
Ability to anticipate and resolve problems
Excellent communication and interpersonal skills with a demonstrated ability to write clearly and persuasively
Strong command of word processing; exemplary spelling and grammar skills
Ability to maintain the highest level of confidentiality
Ability to interface well with all departments of the company and to represent the organization in a highly professional manner
Bilingual-Spanish language speaking and writing (preferred)
Ability to learn new software
Minimum educational level:
Experience required:
3+years in an administrative support position in a fast-paced, changing work environment
Proficiency with Microsoft Office, Google Suite, and/or other comparable software
School or school district office experience preferred
Proficiency with additional database systems preferred (e.g., Filemaker Pro, Access, etc.)
PHYSICAL REQUIREMENTS
Moving self in different positions to accomplish tasks in various environments including tight and confined spaces
Remaining in a stationary position, often standing or sitting for prolonged periods
Moving about to accomplish tasks or moving from one worksite to another
Assessing the accuracy, neatness and thoroughness of the work assigned

Repeating motions that may include the wrists, hands and/or fingers
WORK ENVIRONMENT:
