The Administrative Assistant in International Programs and Off Campus Study is a part-time position that provides administrative support to the Dean and staff of International Programs. This position also serves as the first point of contact for prospective students, parents, and study abroad offices at sending institutions.
This is a part-time, benefit eligible, hourly position with a hiring range of $20.57-$25.72 per hour. Typical hours per week for this position is 19.
Core Responsibilities:
- Provides support to the Dean including scheduling and handling confidential communications; also provides administrative support to the International Programs staff.
- Performs a number of critical tasks (i.e. incoming application management, compiling billing and transcript information for sending schools, launching/tracking evaluations) in support of enrolling students in study abroad/off-campus programs.
- Monitors International Programs inbox daily, responding and forwarding, as necessary.
- Hires, trains, and supervises student Office Assistant(s).
- Plans and executes summer Schools Abroad directors’ conference logistics.
- Coordinates annual special events.
- Provides financial administrative support through processing vendor invoices; depositing application fees and other miscellaneous revenue; budget tracking.
- Support general office operations, including answering the main phone line, managing mail, ordering supplies, overseeing maintenance of equipment, and ensuring general office tidiness and organization.
Requirements
- Bachelor’s degree required.
- 1-3 years’ experience working in an office environment, preferably in higher education, using a variety of computer applications, including Microsoft Office, Google Drive products, and student application and student record software.
- The job requires a commitment to diversity and inclusivity, strong oral and written communication skills, and the ability to handle sensitive information with discretion. Candidates must be organized, proactive, and capable of prioritizing tasks, making decisions, and working independently in a fast-paced environment. Effective teamwork, adaptability to supervision, and clear, concise writing skills are also essential.

- Occasional evening and weekend work for special events.
- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
