Player Design, Inc is seeking an Administrative Assistant, to be based in their Portland, Maine office.
Requirements of the Administrative Assistant:
- High school diploma
- 3 years working in an administrative assistant role
- Proficiency with MS Office Suite and standard office equipment
- Meticulous organizational skills with the ability to manage time efficiently
- Strong attention to detail
- Ability to maintain a high level of confidentiality and discretion regarding company information
- Ability to work onsite in Portland, ME Monday through Friday.
- Some travel may be required.

Responsibilities of the Administrative Assistant:
- Greet customer and vendors professionally with a focus on customer service, usually over the phone and in email.
- Process daily mail, including distribution to remote offices
- Maintain electronic and physical files in an organized manner.
- Coordinate building maintenance, including maintenance arrangements, cleaning contracts and lessee relationships
- Ensure timely vehicle registrations and coordinate vehicle insurance
- Book travel arrangements for management and engineers
- Attend meetings, take notes, distribute for review and confirmation, and maintain records
- Other duties as assigned.
- Foster positive and productive client relationships
Player Design, Inc is a leader in solid fuel energy systems and industrial drying systems. This position reports to the Chief Financial Officer and will be responsible for supporting the executive staff in all administrative functions and processes. In addition, this position involves working closely with engineering, construction and accounting staff at multiple entities.
