Summary
The Administrative Assistant shall provide support to the operations and coordination of the Industrial Catering/Sales and Marketing Department for invoicing, cost management, inventory management and customer care,
Job Responsibilities:
- Ensuring that client information details are kept up to date
- Checking the data input to ensure the accuracy of the final bill
- Creating and sending invoices to customers weekly
- Sending statements to customers monthly
- Tracking payments and ensuring that customers pay within their credit terms assisting with managing the organization’s cash flow
- Developing a sales tracker and updating same weekly to compare sales vs cost of sales
- Monitor major expenditures (food) to ensure that they are within their budgetary limits
- Identifying areas of higher purchase price within the organization and alerting Procurement to same
- Identify and liaise with S&M Manager on areas for substitutions to save costs
- Review cost of sales from all locations and identify variances
- Comparative analysis of consumption trends to identify gaps in record keeping
- Schedule internal and external meetings
- Work closely with Manager to ensure that departmental objectives are streamlined
- Support Manager with attending and preparing presentations for meetings both internal and external
- Working with the Operations Coordinator, Commercial Officer and Manager to support business development marketing or event type initiatives through the maintenance of records, preparation of documents, liaising with internal and external stakeholders
- Adherence to all safety requirement
- Utilization of the Reward & Recognition initiative to highlight Safety habits
