Marcus & Millichap's Seattle office seeks a self-motivated, team-oriented individual to join our staff. The Administrative Assistant/Brokerage Administrator (BA) supports the brokerage activities and agent support for the division and reports directly to the Operations Manager. Responsibilities include:
• Brokerage administration and transactional tasks including managing brokerage legal documents to compliance and approval procedures
• Office administrative support per company standards
• In-office coordination for firm-wide technology and support for meetings utilizing technology
• Training and support for firm-wide technology and tools*
*Employee will be enrolled in our Certified Agent Support Specialist program within the first nine (9) to twelve (12) calendar months of employment enabling them to provide comprehensive training and support to other agents and employees in the firm on specific tools and programs used.
Responsibilities:
- Process brokerage transactions and legal documents to company compliance and approval procedures
- Create digital files and adhere to the company’s filing system
- Generate, copy, scan and bind documents for use by management and agents
- Utilize postage machine and other shipping methods
- Assist in maintaining cleanliness of office, kitchen etc., as well as with the stocking of supplies and coordinating maintenance of copiers and other office machines
- Learn and conduct trainings in accordance to established training modules for all software, applications and tools
Required Knowledge, Experience and Attributes:
- Strong computer skills including Microsoft Programs
- Strong writing and editing skills, i.e., spelling, grammar, punctuation
- Strong proofreading ability
- Interest in developing and delivering training presentations and materials
- Ability to teach one-on-one or in a group setting (previous experience in a training capacity preferred)
- Professional appearance and demeanor
- Be reliable and punctual
- Professional phone and customer service etiquette
- Possess a friendly, proactive attitude and a strong desire to learn and progress within the firm
- 2+ years administrative experience
