We are seeking a dedicated and detail-oriented Administrative Assistant to join our Executive Office Team. In this key role, you will provide comprehensive administrative support to our Executive Assistants, contributing to the efficient and seamless operation of daily tasks.

What will your job consist of?

  • Act as the primary administrative support for the Executive Assistants and internal/external stakeholders

  • Organize and manage complex domestic and international travel arrangements with a strong focus on detail, safety, and convenience

  • Handle invoice payments and coordinate expense reports, ensuring timely submission with minimal supervision

  • Oversee the coordination of signature and documentation workflows across all entities, ensuring timely execution with no supervision

  • Manage office supply orders and inventory efficiently

  • Collaborate with the Executive Assistants and other stakeholders to provide administrative support for team initiatives and company-wide events, tracking progress to ensure objectives and deadlines are met

  • Work closely with the Executive Office Manager and Executive Assistants to align priorities, maintaining an organized and efficient agenda

  • Take ownership of special projects or assignments delegated by the Executive Assistants, demonstrating initiative, accountability, and attention to detail

We are looking for a people who have:

  • At least 2 years of experience in an administrative support role, preferably in an international environment

  • Proficiency in English at a minimum B2 level

  • Strong organizational skills with the ability to manage multiple tasks effectively

  • Highly independent in completing assigned task with deadlines

  • Excellent communication skills, with the ability to engage openly and build respect among stakeholders and colleagues, while fostering collaboration across the organization 

  • A proactive attitude with a goal-oriented mindset, demonstrating initiative in all tasks

  • A strong sense of responsibility and ownership in driving various initiatives and assignments to successful completion

  • Excellent  interpersonal and communication skills, with an appreciation for diverse personalities, perspectives, and culture
