The Accounts Payable Specialist is responsible for the day-to-day aspects of Kodiak Robotics, Inc. procure to pay operations and will support the company’s overall finance and accounting team. This role will ensure the timely and accurate processing of vendor invoices, expense reports and payments. Kodiak Robotics, Inc. has a hybrid work environment, and it is required to be in our HQ office at least 2 days / week.
In this role, you will:
- Primary focus areas will include processing accounts payable, credit card, expense reports and accruals
- Review and accurate processing of invoices using Bill.com (3-way matching), including ensuring proper approvals are obtained and verification of verifying sales/use tax rates
- Review and process employee expense reports promptly for timely reimbursement while ensuring compliance with company policies
- Obtain accruals from vendors in a timely fashion
- Schedule and record timely wire payments for international vendors
- Set up new vendors in the system, obtain the necessary documents needed to process invoices for payments, such as W8/W9s, payment/bank details
- Prepare monthly journal entries and related general ledger account reconciliations
- Prepare sales tax, 1099s, and other regulatory filings to ensure compliance
- Issue tax exemption certificates as required
- Support audit requirements
- Maintain a vendor aging report, ensuring all invoices & credits are accurate
- Proactively identify issues and implement process improvements to streamline processes
- Other duties as assigned
Qualifications:
- 5+ years of accounting-related work experience (must have at least two years as Accounts Payable Specialist in the same company)
- Strong attention to detail, high level of accuracy, and ability to understand the purpose of a task
- Effective communication (verbal, listening and written) and organizational skills and ability to multi-task
- Ability to work in a fast-paced environment while managing multiple priorities
- Strong knowledge of AP processes, policies, and best practices
- Ability to maintain discretion and confidentiality at all times
- Operate as a team and/or independently while demonstrating flexibility to changing requirements
- Experience in using Bill.com, Brex and QuickBooks online is a plus
- Experience in the trucking industry is a plus

The annual salary range for this full-time position is $120,000-$150,000 + bonus + equity + benefits. Our salary ranges are determined by role, level and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
