Position Summary :
Reporting into the HR Manager/HR Director at Jigsaw Head Office in Westland Square, Dublin 2, the HR Officer will be responsible for the management and ongoing development of the HRIS system to deliver an efficient, effective HR data management and administration user support service. They will provide management information and reporting to assist with workforce planning, payroll, absence management, performance and benchmarking information to HR colleagues and the management team.
The postholder will also provide HR generalist support to the HR function across all areas including onboarding, offboarding, staff training and development, performance management and payroll if/when required, delivering a proactive, flexible, high-quality service.
The post holder has broad experience in the management of HRIS systems and generalist HR experience in a similar environment. They will be highly motivated, enthusiastic and flexible in their approach to the work and be open and willing to contributing to the wider objectives of the organisation.
This is a full-time, permanent position based in our Jigsaw National Office.

In Jigsaw, we intervene early to support young people’s mental health. We are the only mental health service in the country with an exclusive focus on 12–25-year-olds.
We have 13 Jigsaw services in communities across Ireland providing mental health support to young people, and we are continuing to grow year on year. Our Jigsaw services provide young people aged 12-25 with a place they can visit for free and receive confidential support from trained mental health professionals.
We educate and equip communities to help young people. Our research is the foundation on which we build our workshops for adults and young people alike. We believe that future resilience is based on early intervention and mentoring.
We listen to young people. At Jigsaw, our Youth Advisory Panel’s opinions and contributions are vital to the running of our organisation. They guide our thinking and they influence our decision-making.

We work with Government, the HSE and policymakers to make sure the right frameworks are being put in place to help Ireland’s young people for generations to come.
Core Job Requirements:
- To be responsible for the support and maintenance of HR software (HRIS System – currently Bamboo) including the inputting, updating and transferring of data. Be the technical expert for the system providing support and coaching to HR colleagues and new users ensuring all HR data records are up-to-date and 100% accurate.
- Ensure data integrity through the use and creation of validation reports to identify and correct issues, errors and anomalies in relation to post, employee, pay and reporting lines.
- Lead on the implementation of improvements and modules within the HR system, ensuring the system data management is GDPR compliant.
- Provide regular people management reports including, all absences, contract status, appraisals, exit interviews, and assist budget exercises and auditing.
- To be the key point of contact for advice, basic training and support plus systems queries. Liaising with system users, IT and software provider where necessary to ensure optimum effectiveness.
- Carry out all duties in line with Jigsaw Equality, Diversity and Inclusion policy
Generalist Duties:
- Support Jigsaw’s end-to-end on-boarding process
- Liaise with the Recruitment Team support preparation of all contracts and new starter packs, ensuring that all items on the new hire checklist are completed in a timely manner
- Coordinate, schedule and support Jigsaw Induction Process
- Process all leavers, supporting exit interviews, analyse exit data, and produce summary reports and trending analysis.
- Source and co-ordinate external training for all employees required in line with strategic objectives/as informed by HR Director
- Support management of Probation Reviews, benefit administration, and Garda vetting
- Compliance to all local site Environmental, Health and Safety regulations
- Ensure that Jigsaw’s values and policy commitments, including accountability, equality and safeguarding, are reflected in assigned responsibilities and contribute to a positive internal and external working relationship within the HR team and with all stakeholders
Requirements
Knowledge, skills, and experience required :
Essential :
- At minimum, CIPD qualified or degree in Human Resource Management, working towards CIPD
- Extensive knowledge and use of HRIS systems with a minimum of 3 years broad generalist HR experience across all functional areas
- Sound knowledge of Employment legislation and best practice
- Practical knowledge of employee relations including grievance and disciplinary procedures.
- Experience delivering HRIS and/or training workshops
- Excellent IT skills including demonstrable use of Microsoft Office suite (Word, Excel, Powerpoint)
- Strong interpersonal skills, with an ability to listen, respond and deliver in a timely fashion
- Excellent communication skills with the ability to be proactive, collegiate respectful and resilient, adhering at all times to confidentiality as required within the role
- Excellent organisational and time management skills with the ability to prioritise and meet deadlines.
- Experience of and comfortable with working in a changing and evolving environment with capacity to work on own initiative and also as part of a team
Desirable :
- Experience implementing and managing service level agreements
- Understanding of the issues which impact upon the mental health of young people

The salary range for this role will be €33,000 to €46,800
